Booking

Terms & Conditions

Booking a safari holiday can be a large commitment and expense, and we are dedicated to assisting you with your arrangements. All tour operators and suppliers have booking conditions and payment requirements which need to be adhered to secure your reservation.

By booking your arrangement with us, you are agreeing to be bound by the terms of this agreement and any additional terms and conditions of any supplier that are applicable to your booking arrangements. The lead passenger assumes the responsibility of sharing these terms and conditions with each passenger in their group, including payment of all amounts when due. It is the responsibility of each passenger to read our terms and conditions in its entirety. In addition, we reserve the right to modify these Terms and Conditions.

Planning any vacation takes extensive time and effort before the departure date ever arrives. We have a rate structure to assist with the time spent covering the initial consultation, research and proposal. We will advise you of our fee for your journey. Our consulting fee will be charged at the time of proposal delivery, regardless of whether a client books a trip with us. When a client books a trip with us, this fee also goes toward travel support and the booking of the trip itself. The consulting fees are non-refundable. We may also collect a commission from the supplier of your trip.

  • Once a provisional booking is made and written confirmation from you is given, a deposit of 25% is required to secure the booking. This is a non-refundable deposit. Quotes are valid for 14 days at which time they will be re-costed should the deposit not be received to confirm the booking. This booking fee is required by our suppliers in Africa to cover costs incurred by your booking such as flights included in your itinerary, National Park fees and permits, and to secure accommodation. A booking shall not be deemed to have been accepted or to be binding until such time as the booking fee has been paid.
  • Balance payment is required at least 12 weeks (84 days) prior to departure date, or payment in full, if within 12 weeks of travel.
  • A booking will be deemed to have been accepted once the company has confirmed its acceptance in writing.

Cancellation

  • Cancellation more than 12 weeks prior to travel date, the non-refundable deposit is forfeited
  • Cancellation made between 8 weeks and 12 weeks prior to travel date, the deposit plus 20% of the balance payment is forfeited
  • Cancellation made between 5 weeks and 8 weeks prior to travel date, the deposit plus 50% of the balance payment is forfeited
  • Cancellation made inside 4 weeks of travel date, 100% cancellation fees apply
  • Once flight tickets are issued, they are non-refundable.
  • Notice must be given in writing for any cancellation of bookings or part thereof and are subject to the above cancellation policy.

Variation or cancellation by the company:

Getaway Safari Ltd will endeavour to always provide the itinerary booked, however due to the nature of safaris/itineraries and being at the mercy of nature, this may not always be possible. The client accepts, at the time of booking, the possibility for and appropriateness of such flexible or alternate arrangements and shall make no claim against the company in respect thereof.

Insurance

  • It is mandatory for all travellers making travel arrangements through Getaway Safari Ltd to purchase fully comprehensive travel insurance to cover their investment in their safari/holiday. This should cover cancellation, personal accident and medical expenses and evacuation/repatriation costs.
  • The company may at any time request a copy of the travel insurance policy. Clients must provide their insurance details with a copy of their policy including emergency contact number and policy number to the company before departure.

Force Majeure

Force majeure” means, in relation to our agency, in any circumstances beyond our reasonable control, (including, but without limitation, to acts of God, explosion, flood, forceful wind, fire or accident, war or threat of war declared or undeclared, acts of terrorism, sabotage, insurrection, riots, strikes, civil disturbance, sickness, epidemics, pandemics, quarantines, government intervention, weather conditions, defects in machinery and vehicles, delays or other unforeseeable event), we shall not be deemed to be in breach of these terms and conditions or otherwise be liable to you, and shall not provide any refund, by reason of delay in performance, or by non-performance, of any of our obligations hereunder to the extent that any such delay or non-performance is due to any force majeure. If our agency, and/or any of our travel suppliers, are affected by force majeure, they shall be entitled to, and may in their sole and absolute discretion, vary or cancel any itinerary or arrangement in relation to your trip.

Visas & travel documentation

  • Travellers must ensure they have all necessary visas prior to departure from their home country (unless these can be obtained on arrival) as Getaway Safari Ltd, its staff, suppliers and operators cannot be held liable should entry be denied. The client acknowledges that it is his or her responsibility to obtain and maintain a valid passport, any valid visas, permits or certificates, including vaccination certificates, for any tour booked with the company
  • All passport holders should verify visa entry requirements with the relevant consulate prior to travelling. Visas are ultimately the responsibility of the traveller, and no responsibility can be held for incorrect visas by the company. Passports must be valid for at least 6 months from date of travel, and you should have a minimum of four blank pages in your passport. Entry may be denied if documents do not meet these requirements.
  • Whilst the company will endeavour to notify the client of any changes to matters of the type referred to above, the client acknowledges that the company has no legal responsibility to do so and further acknowledges that it is the client’s responsibility to ascertain such matters.

Flights

  • The client acknowledges that there may be flight delays (due to circumstances beyond the control of the company) that may lead to interference with the client’s itinerary. The company will not be responsible for any flight delays or loss of flight connections whether such loss is caused by the client, the company, any of its suppliers, an airline or other. In the case of any loss of flight connections, whilst every effort will be made by the company to continue with the booked tour, the company will not be liable to compensate clients for any lost part of their itinerary and the company will not be liable to pay for any additional costs that may be incurred by the client as a result of any loss. The company strongly recommends that clients have insurance that will cover them for flight cancellations and delays.
  • The client acknowledges that it is the client’s responsibility to check in on time for his or her flight at any airport. The company will not be responsible for any flights that are not taken by the client due to the client’s late arrival at any airport. It is also the client’s responsibility to contact the relevant airline companies at an appropriate time before any flight departure to confirm that all details relating to their flights are correct.

Medical

  • It is the client’s responsibility to be aware of any health requirements for intended travel destinations. Vaccinations are strongly recommended or mandatory for certain destinations. Contact your local doctor or travel vaccination centre who will advise you of these requirements. Please note that vaccinations may be recommended some period in advance of travelling.
  • The client warrants that he/she will disclose to the company prior to, or at the time of the booking of a tour any medical condition that the client has suffered 2 years prior to the date of booking. The client acknowledges that such disclosure is important and relevant because it may affect the willingness of the company to accept the client’s booking and may affect any advice that the company would seek to give to the client in relation to any proposed tour.
  • All clients must satisfy themselves prior to booking that they are fit and able to complete their chosen itinerary. The journeys are suitable for travellers of average fitness and mobility. Travellers may be expected on occasions to carry their own luggage for short distances.
  • Allergies: The client warrants that he or she will disclose to the company prior to or at the time of the booking of a tour any allergies, including food allergies, from which the client suffers. The client acknowledges that such disclosure is important and relevant because it may affect the willingness of the company to accept the client’s booking and may affect any advice that the company would seek to give to the client in relation to any proposed tour.

Acceptance of risk

  • The client acknowledges that the tours offered by the company may be considered to be, in full or in part, adventurous. The tours may involve personal risk, such risks to include illness, injury, disease, loss or damage to property, discomfort, and inconvenience. The client, in making the booking, accepts such risks and agrees that he or she has made the booking upon the condition that he or she travels at his or her own risk. The client warrants that he or she shall not make any claim against the company for injury or loss, howsoever caused, arising out of the acceptance of such risk.
  • It is the responsibility of the client to be informed about any travel advisories or warnings issued by any Government Department. If a travel advisory or warning is issued by a Government Department in relation to a destination to which the client has booked to go, then the client may, at his or her discretion, cancel the booking (and in which case the cancellation provisions herein referred to will apply) or proceed with it. If the client decides to proceed with the booking, then the client acknowledges and agrees that he or she has decided to do so at his or her own risk and will not make any claims against the company in respect thereof.

Pricing & payment

  • Additional levies, government charges & other applicable fees, including additional taxes, surcharges and visa fees specific to your departure date may apply and are beyond our control. These surcharges may be imposed up to 60 days before departure, or before the final payment is made.
  • Prices may be subject to currency fluctuations. The price quoted is subject to change in the event of any unforeseen increases in fuel costs including currency fluctuations (relevant to aircraft or transfer services) and/or Government levies/taxes. Once the client has paid in full, the company will not be entitled to pass on any surcharges or increases mentioned above.
  • All quotations are subject to the availability of all services at the time of making a reservation.
  • The rate of exchange can only be determined on date of payment of invoice.
  • Prices quoted by the company prior to or at the time of booking, are calculated by a number of factors, including exchange rates, Government charges, transport costs including fuel charges, prices charged by suppliers in other countries and other matters.
  • Getaway Safari Ltd will endeavour to ensure that prices quoted prior to or at the time of booking remain valid until full payment is made. The client acknowledges that some of the variable factors affecting the cost of the tour, including but not limited to those referred to above, may increase between the time of booking and the time of payment in full. In the event of any such increases, the company reserves the right to pass on to the client any such amounts, provided that it does so at least 60 days before the date of departure.
  • Once the client has paid in full for the tour, the company shall not be entitled to pass on to the client any increases in the variable factors referred to above.
  • Due to the logistics of travelling on a safari to remote areas, we strongly recommend that all guests read the literature provided. Should there be any further queries, please feel free to contact us.
  • We provide pre-tour information relevant to all countries in which you will visit, and this should answer most questions you might have regarding travelling on safari. We will send this to you on confirmation with a suggested packing list and request that you please provide your guests with a copy accordingly.
  • All passengers under 18 years of age will need to present an unabridged birth certificate as well as a valid passport when entering, departing or transiting South Africa and Botswana. Abbreviated versions or baptismal certificates are not accepted. This requirement applies to minors of all nationalities – whether travelling unaccompanied, with both parents, with one parent or with a guardian/s or another adult/s. A sworn translation (certified/authenticated) in English should accompany all documentation that is in a language other than English.

Terms

The terms and conditions set out herein supersede any previous understandings, arrangements or terms and conditions that may previously have existed between the company and the client.

The client acknowledges that Getaway Safari Ltd acts as a booking agent for the suppliers of products and accepts no liability for any injury, loss, damage, accident, delay, or irregularity that may arise to any customer or third party resulting from the customer or third parties use of the Products. All bookings are made on your behalf subject to the terms and conditions, including conditions of carriage and limitations of liability, imposed by these service providers. We can provide you with copies of the relevant service provider terms and conditions on request. Your legal rights in connection with the provision of travel services are against the specific provider and, except to the extent a problem is caused by fault on our part, are not against us. Specifically, if for any reason (excluding fault on our part) any travel service provider is unable to provide the services for which you have contracted, your rights are against that provider and not against us.

To the extent permitted by law, neither Getaway Safari Ltd nor any of its related employees or agents accept any liability in contract, tort or otherwise for any injury, damage, loss (including consequential loss), delay, additional expense or inconvenience caused directly or indirectly by the acts, omissions or default, whether negligent or otherwise, of third party providers over whom we have no direct control, force majeure or any other event which is beyond our control or which is not preventable by reasonable diligence on our part.

These Terms & Conditions shall be governed in all respects by the laws of New Zealand and any claims or disputes between the client and Getaway Safari Ltd in connection with this agreement shall be commenced, filed and litigated before a court of proper jurisdiction in New Zealand.

If there is any part of these terms and conditions that you do not agree with, please do not use our travel services.

These Terms and Conditions were updated May 2023 and may be superseded by any subsequent updates.
